Description: The Business Manager’s role is primarily one of oversight and management of processes and procedures for the smooth functioning of the parishes of St. Brigid and St. James. The practical focus will be on the accounting function, maintenance and oversight of facilities and grounds, IT, compliance, and operating procedures. While the day-to-day work in these areas will be carried out mostly by direct reports and contractors, the Business Manager will manage and collaborate with them to ensure deadlines and the needs of our stakeholders are being met. Because the Business Manager has oversight of the accounting function of the parishes, it is necessary to have working knowledge of and experience with income and expenses; assets and liabilities; payroll and retirement contributions; collecting rental fees, including insurance premiums; bequests and other large donations; and budget setting and monitoring. The Business Manager executes this role in the service of the greater goal of advancing the authentic Catholic Christian mission of the parishes to worship Almighty God and to make disciples of Jesus Christ.

General Administration

  • Ensure that facilities and finances are best used at the service of the parishes’ culture and mission
  • Supervise the Bookkeeper, School Enrollment Specialist, and any maintenance staff
  • Document and adhere to Standard Operating Procedures for the role
  • Attend Finance Council, staff meetings, and other meetings directed by the Pastor
  • Review, negotiate, and oversee the execution of all parish-related contracts

Technology

  • Coordinate with our IT partners for all technological needs of the parishes and school

Facilities

  • Act as the primary contact for building and construction matters.
  • Oversee policies for the use and rental of parish facilities
  • Direct Maintenance Manager in facilities maintenance, cleaning, and upkeep

Policy and Compliance

  • Oversee policy and procedures for finances and HR
  • Oversee the systemization and management of necessary parish records
  • Act as parish and school Safe Environment coordinator.
  • Maintain all personnel files
  • Ensure adequate insurance for all parish property and current inventories of temporal goods

Financial

  • Direct Bookkeeper in oversight and review of all accounting functions
  • Complete monthly payroll and retirement contributions
  • Complete monthly bank reconciliations
  • Create and review of yearly budgets with relevant stakeholders.
  • Manage bookkeeping, accounting, banking, purchasing, and related procedures.
  • Oversee periodic tithing pledge drives.
  • Convene with the Pastor for regular financial reviews.
  • Direct Bookkeeper in oversight of monthly finance review, analysis, and reporting.
  • Oversee the preparation of scheduled archdiocesan financial reports.
  • Oversee special collections
  • Issue annual tithing tax letters by January 31st for the previous calendar year.

Maintenance Manager (part-time)

Description: The Maintenance Manager works to oversee all aspects of maintenance and ensure safe and clean church grounds and facilities for the parishes of St. Brigid and St. James, including St. James School. Maintenance and Cleanliness

  • Ensure both churches, school, rectories, and surrounding grounds are always safe, clean, and maintained in a good condition.
  • Oversee scheduled cleaning of churches, Goetz Center, rectories, and school
  • Oversee and carry out routine and abnormal maintenance tasks; use contractors as needed and bid out when necessary
  • Use system to track all maintenance and janitorial work.
  • Personally provide janitorial support when needed; assist at school as needed.
  • Monitor and oversee contracted services as needed
  • Maintain a work center for maintenance activities and secure control of materials
  • Maintain a file system for all contracts, equipment warranties, and service manuals.

Set-up and Tear Down for Events

  • Coordinate events, set up, cleaning, and tear down, noting property care.
  • Other duties as assigned.

Grounds Supervision

  • Oversee ground-keeping and mowing of all areas by those the parish has contracted with.
  • Clear snow off and salt sidewalks as needed to ensure safe entrance for rectories, school, and churches for daily and weekend Masses and other liturgies, including weekend and evening weddings.
  • Clean-up of grounds and see to removal of trash.

Description: St. James Catholic Church was built in 1913 and is listed on the U.S. National Register of Historic Places. It is home to the third largest pipe organ in the Archdiocese of Louisville, a 41-rank Pilcher organ that was constructed in 1885 and installed in St. James in 1914. We have an all-volunteer choir that averages 35 voices.

In collaboration with and under the leadership of the Pastor, the Director of Sacred Music and Liturgy works for “the glory of God and the sanctification of the faithful.” As the main organist and choir director, the Director achieves this work through beautiful sacred music and robust and detailed liturgical programming toward this end. This full-time position is responsible for developing and maintaining a comprehensive program of sacred music for the parish that assists the people of God in praying the liturgy well; and for supporting the Pastor in the liturgical life of the parish. The Parish Business Manager / Bookkeeper works closely with parish and school leadership, reports directly to the pastor, and is entrusted with sensitive financial and personnel information.

Because this position serves two parish communities and a parish school, the successful candidate must be comfortable managing multiple accounts and financial processes while maintaining accuracy, confidentiality, and attention to detail. The position also involves working with parish and school leadership, finance councils, auditors, and diocesan offices as needed.

Qualifications: The ideal candidate will possess a bachelor’s degree in accounting, finance, business administration with significant accounting coursework, or a related field. Candidates should have a strong working knowledge of accounting principles and financial reporting, together with at least 3–5 years of progressively responsible accounting or bookkeeping experience. Experience with budgeting, payroll administration, financial reporting, account reconciliations, and fund accounting is strongly preferred. Experience in parish, school, nonprofit, or fund accounting is especially beneficial.

This position requires excellent organizational skills, sound judgment, attention to detail, and the ability to communicate clearly and professionally. The successful candidate must demonstrate the highest standards of integrity, confidentiality, and professional discretion, as well as the ability to establish a strong relationship of trust and collaboration with the pastor. Parish/School: St. Gregory the Great, Cox’s Creek, KY
Description: St. Gregory parish is seeking a part-time secretary to facilitate communications and parish publications with the weekly bulletin, website and social media platforms. Provide administrative support to the Pastor, parish staff and committees. Update sacramental records and new parish families in the parish systems. Act as a minister of hospitality to the parish. The part-time schedule for this position is 26 hours per week, Monday – Thursday from 9:00am – 4:00pm. Eligible for 401k plan, vacation and sick leave.
Qualifications: Candidate must be able to communicate effectively and efficiently with the Pastor, other staff members and parishioners.  Must be able to maintain strict confidentiality at all times.  The ideal candidate possesses knowledge of ParishSOFT or willingness to learn. Experienced with Microsoft Office and Publisher. Practicing Catholic preferred.
